How Coordination Works

Last updated: March 26, 2026

Workmate automatically handles coordination when you schedule a meeting on behalf of someone else.

Here’s how the process works:

1. Request the Meeting

Start by asking Workmate to schedule a meeting for someone else.

You can optionally clarify that you are not required to attend.

Example:

“I’m scheduling a meeting for Will and Carla. I’m not required to join.”

2. Workmate Identifies Coordination

Workmate understands that you are coordinating the meeting, not attending.

It will:

  • Assign you as the Coordinator

  • Exclude you as an attendee

  • Identify the correct participants

No manual role selection is needed.

3. Meeting is Scheduled Correctly

Once a time is confirmed, Workmate creates the calendar invite:

  • The correct participants are included

  • The appropriate person is set as the organizer

  • You are not added to the invite

This ensures clean and accurate meeting scheduling.

Automatic Scheduling Behavior

If all participants are on Workmate, scheduling and role assignment happen automatically.

No manual coordination or follow-up is required.

Important Notes

  1. You will remain part of the conversation, even if you are not included in the meeting

  2. Workmate determines roles based on how the request is written

  3. You can still guide the process by adding instructions if needed
